Privacy Policy

Effective October 27, 2026

This Privacy Policy explains how Serva Software, LLC ("ServaSW", "we", "us") collects, uses and shares information when you use the ServaSW service management software, including servasw.com and every business site hosted on it (for example yourbusiness.servasw.com) (together, the "Service").

1. Who this policy covers

The Service is used by two kinds of people, and our role differs for each:

  • Account holders: businesses that subscribe to ServaSW and the employees they add as users. For this information, we decide how it is used.
  • Our account holders' customers: the people a business serves and stores in ServaSW, such as homeowners on a work order. The business decides what it collects about them and why; we process it on the business's behalf and only to provide the Service. If you are a customer of a business that uses ServaSW, please contact that business about your information. We will help them respond to your request.

2. Information we collect

Account and user information

  • Name, email address, phone number, password (stored only in hashed form), role and team.
  • Business details entered at sign-up or in settings: business name, site address (subdomain), website, logo and contact details.
  • Your mobile number, if you use text-message two-factor sign-in.

Billing information

Subscription payments are processed by Stripe. Your full card number is sent directly to Stripe and is never stored on our servers. We keep only the card brand, last four digits, expiration date and the subscription and invoice references Stripe returns.

Information businesses store about their customers

Account holders use the Service to manage their own customers. This can include names, service and billing addresses, phone numbers and email addresses, contact preferences, equipment details, work orders, schedules, invoices, payments, notes, and how the customer heard about the business.

Information collected automatically

  • Server logs, including IP address, browser type, pages requested and the date and time of each request.
  • Cookies that keep you signed in and protect forms against forgery (see section 6).

3. How we use information

  • To provide, operate and maintain the Service, including scheduling, routing, invoicing and reports.
  • To create and secure accounts, verify email addresses and send two-factor sign-in codes.
  • To process subscription payments and manage trials.
  • To send the messages an account holder's workflow calls for, such as appointment and "on my way" text messages and invoice emails to their customers.
  • To send service-related notices, such as password resets, billing receipts and important changes.
  • To respond to support requests.
  • To detect, prevent and investigate fraud, abuse and security incidents, and to meet legal obligations.

We do not sell personal information, and we do not use it for third-party advertising.

4. Service providers we share information with

We share information only with providers that help us run the Service, and only as needed for their task:

ProviderPurpose
StripePayment processing and subscription billing
TwilioText messages, including two-factor codes and customer notifications
MailgunSending email
Google Maps PlatformConverting addresses to map locations for scheduling and routing
DigitalOceanHosting the servers and databases the Service runs on

We may also disclose information when required by law or valid legal process, to protect the rights, safety or property of ServaSW, our users or others, or as part of a merger, acquisition or sale of assets, in which case this policy will continue to apply to the transferred information.

5. How long we keep information

We keep account and customer records for as long as the business's account is active. When an account is closed, we delete or anonymize its data within 30 days, except where we must keep certain records (such as billing records) longer to meet legal, tax or accounting obligations. Account holders can delete individual records in the Service at any time.

6. Cookies

We use only cookies needed for the Service to work: a session cookie that keeps you signed in and a security cookie that protects forms. We do not use analytics or advertising cookies. If you block cookies in your browser, you will not be able to sign in.

7. Security

We protect information with encrypted (HTTPS) connections, hashed passwords, optional two-factor sign-in, role-based permissions and separate databases for each business. No system is perfectly secure, but we work to protect your information and will notify affected account holders of a breach as required by law.

8. Your choices and rights

  • Account holders can view and update their profile and business information in settings.
  • You can ask us for a copy of your information, or ask us to correct or delete it, by emailing info@servasw.com. We may need to verify your identity first.
  • Depending on where you live, such as California, you may have additional rights, including the right to know what we collect and the right not to be discriminated against for using your rights. We will honor these requests as the law requires.
  • Customers of a business that uses ServaSW should send requests to that business. They can reply STOP to any text message to stop receiving texts.

9. Children

The Service is meant for businesses and is not directed to children under 13. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this policy from time to time. When we do, we will change the effective date above, and if the changes are significant we will notify account holders by email or in the Service.
